The Opportunity

We are excited to hire a Legal Executive Assistant to support our VP of Legal, with a specialized focus on managing our Evidence division. This role is based in the Eastern Time Zone (New York Preferred) and requires someone who thrives in a fast-moving environment and is ready to be the right hand to our VP of Legal. If you're the type of person who treats each day like game day, keeps everything (and everyone) running on time, and thrives on being the calm in the legal storm, we want to talk to you.

Think of this role as the trusted right hand—the Donna to Harvey Specter, the Lloyd to Ari Gold, the Moneypenny to James Bond. We're looking for a highly motivated, detail-oriented Legal Executive Assistant or Paralegal with strong litigation and legal research experience.

The ideal candidate is obsessively organized and fearless when it comes to jumping on a call, digging into an issue, or helping close the loop when it matters most.

This position requires someone who is proactive, resourceful, unshakably reliable and can anticipate needs before they’re spoken —someone who can manage fast-paced demands with precision, discretion, and professionalism. What You’ll Do

  • Own and operate our Evidence division’s administrative and operational functions

  • Track, triage, and respond to incoming subpoenas and legal requests related to evidence

  • Coordinate with agencies, attorneys, and internal teams to ensure accurate and timely handling of legal processes

  • Support the VP of Legal in determining when testimony is necessary and flag cases where evidence may be stipulated to, saving time and resources

  • Manage the VP of Legal’s calendar, travel, meetings, and trial schedules, ensuring he is always where he needs to be, fully prepared

  • Coordinate logistics and materials for testimony or hearings, including collecting records and preparing briefing materials

  • Conduct research to support various legal projects/proceedings that the VP of Legal and Legal Team are working on

  • Take initiative to resolve issues before they arise, identifying risks, clearing blockers, and keeping the Legal team running at full speed

  • Handle sensitive communications, mail, and records management with the highest level of discretion

The Skillset

  • 10+ years of experience as a Paralegal, Legal Executive Assistant, or Legal Operations Coordinator, preferably with exposure to litigation, evidence handling, or corporate compliance within a fast-faced in-house legal environment

  • Strong legal research skills, including the ability to dig into state and federal rules of evidence and relevant statutes with speed and accuracy

  • Exceptional organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail

  • Excellent communicator, written, verbal, and interpersonally. You’re confident picking up the phone and getting things done

  • A strong sense of ownership and a proactive mindset. You don’t wait to be told, you anticipate and act

  • Proven ability to work well under pressure and juggle multiple high-priority items

  • Discreet, reliable, and able to work with highly confidential material

  • Comfortable working cross-functionally with legal, operations, and external counsel

  • Associates Degree or Paralegal Certificate Required / Bachelors Preferred

  • Proficient in MS Office Suite and legal tools or document management systems

90 Days at Flock

We are a results-oriented culture and believe job descriptions are a thing of the past. We prescribe to 90 day plans and believe that good days lead to good weeks, which lead to good months. This serves as a preview of the 90 day plan you will receive if you were to be hired as an Executive Legal Assistant / Paralegal at Flock Safety.

First 30 Days

  • Build relationships with the VP of Legal, as well as the Legal Team and cross-functional stakeholders

  • Shadow the VP of Legal to learn his preferences, communication style, and core responsibilities

  • Understand our internal Evidence systems and current subpoena workflows

  • Become familiar with Flock - learn our OKRs, company history, roadmap, culture, product suite and more

  • Begin handling scheduling, communications, and managing incoming legal mail

  • Start conducting light legal research and supporting responses to legal requests

First 60 Days

  • Take full ownership of subpoena tracking, triage, and deadline management

  • Create templates and processes for managing testimony requests and evidence stipulations

  • Prepare the VP of Legal for upcoming hearings, including briefing and material preparation

  • Build a central repository for legal research and documentation related to evidence and procedure

90 Days & Beyond

  • Fully manage the Evidence division’s operational workflow

  • Serve as the VP of Legal’s strategic partner and trusted gatekeeper streamlining tasks and amplifying effectiveness

  • Lead ongoing research, improve internal workflows, and help shape legal strategy

  • Own legal testimony and subpoena coordination from start to finish, bringing clarity and consistency to complex processes

  2. The Hiring Manager Interview: You will meet with your potential future boss to really dive into the role, the team, expectations, and what success means at Flock. This is your chance to really nerd out with someone in your field.

  3. The Panel: Learn more about the team, responsibilities, and workflows. You should be prepared to speak about past projects, how you collaborate and communicate with others, and how you live our values. Depending on the team and role you are interviewing for, you may meet with several teammates as well as cross-functional partners.

Salary & Equity

In this role, you’ll receive a starting salary between $100,000 and $115,000 as well as Flock Safety Stock Options. Base salary is determined by job-related experience, education/training, as well as market indicators. Your recruiter will discuss this in-depth with you during our first chat.
