The Role
As the Vendor Outreach Team Lead at Ottimate, you will lead a team of Vendor Outreach Specialists focused on enabling vendors through our innovative payment network. You will coach, develop, and support your team to meet performance goals while driving improvements in process, strategy, and execution. This role balances people management with hands-on outreach work, giving you a unique opportunity to shape team culture, support vendor operations, and directly contribute to business impact.

Key Responsibilities
Team Leadership & Operations
- Manage a team of Vendor Outreach Specialists, including onboarding, training, conducting 1:1s, and escalating performance or process issues as needed.
- Set and track monthly team OKRs (Objectives and Key Results) in partnership with your manager and develop tactical plans to achieve them.
- Manage and prioritize the Vendor Outreach ticket queue, ensuring timely and effective vendor contact.
- Work with the Financial Analyst to prioritize and assign lead lists based on impact, urgency, and alignment with team capacity.
- With support from the Manager of Vendor Operations, conduct regular performance reviews, coaching sessions, and team check-ins to support development and accountability.
- Update and maintain internal documentation to reflect current processes, outreach strategies, and resources.
- Collaborate cross-functionally with internal teams (e.g., Product, Customer Success, Data) to improve workflows and tool utilization.
- Monitor call activity and performance metrics to ensure high-quality outreach and consistent progress toward team goals.
- Drive process improvement initiatives and implement scalable outreach strategies in collaboration with the operations and data teams.
- Report on team progress and vendor conversion trends to operations leadership.
- Manage scheduling, workload balancing, and prioritization of lead pools, ensuring optimal coverage and resource allocation.
- Participate in hiring and onboarding of new outreach team members.
Vendor Outreach
- Navigate accounts receivable and billing departments to locate key contacts and determine whether they can accept our payment methods.
- Quickly assess whether vendors are eligible to be paid through our system based on technical, policy, or legal requirements.
- Perform vendor research to gather necessary contact details and qualify lead viability.
- Maintain high call volume to vendors of various sizes on behalf of Ottimate clients.
- Lead by example—continue conducting outreach to stay grounded in team workflows and vendor needs.
- Proactively recommend changes to outreach processes as we implement new payment solutions.
Team & Company Integration
- Participate in 1:1s with your manager and regularly shadow other Ottimate team members to continue growing your operational expertise.
- Become a subject matter expert in Ottimate’s payment products and vendor outreach processes.
- Ensure your team consistently achieves individual and collective activity targets and conversion quotas.
- Champion team culture rooted in collaboration, ownership, and performance.
- 2+ years of professional experience, ideally in vendor outreach, payments, or a similar client- or vendor-facing role.
- 1+ years of experience leading, mentoring, or managing a team is preferred.
- Proven track record of hitting targets and driving team performance
- Excellent communication and interpersonal skills
- Strong analytical and organizational skills with the ability to make data-driven decisions
- Excellent organizational skills and a process-oriented mindset.
- Strong sense of ownership and the ability to thrive in an evolving, high-growth environment.
- Proficient with outreach tools and CRMs (e.g., Salesforce, Outreach).
- Self-starter with a passion for helping others grow and succeed.
Preferred Qualifications
- Experience in accounts payable/receivable, billing, or hospitality/restaurant industries.
- Familiarity with B2B fintech, vendor management systems, or payment platforms.
- Demonstrated success managing outreach or operational pipelines.
- Strong note-taking, documentation, and internal communication habits.
