About the role:
The Office Administrator is responsible for overseeing the general administrative functions and any events or activities in the office. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, key - record keeping and coordination amongst departments.
What you will own:
Reporting to the Site Lead, you will:
- Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
- Handle procurement of office supplies or equipment and other office requirements
- Maintain office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions
- Monitor and coordinate schedule/routes of the messenger
- Ensure upkeep of office services and premises at all times - proactively maintain the office condition and safety requirements and arrange necessary repairs
- Be responsible for business permits registration/renewal and lease contracts execution/renewal, communications and reporting with government agencies – knowledge of PEZA an advantage
- Liaise with facility management vendors, including cleaning, catering and security services
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Manage contract and price negotiations with office vendors, services providers
- Achieve financial objectives by preparing and scheduling expenditures – raising POs and signing off office management invoices in a timely manner
- Provide general support to visitors
- Assist with researching travel options and bookings
- Assist in inhouse or offsite company activities
- Help plan and manage company monthly engagement activities
- Manage and develop Health and Safety programs in compliance with the government agencies requirements
- Work closely with the Global Office & Facilities Manager and other members of the global office management team for the alignment of global policies and requirements
- Support the local leadership team with ad hoc requests and initiatives as required
What you bring to the table:
- Candidate must pose a Bachelor’s/College Degree in any field
- Must have at least 5 years experience in this field of work; specialized in purchasing/inventory/office administration/logistics/supply chain
- Required Skills: Office administration, Basic Finance, Human Resources Management and Microsoft Office, and Google Workspace Application
- Working understanding of standardized office processes and procedures in a mid-volume environment
- Attention to detail and accuracy
- Excellent written and verbal communications skills.
- Creative with an ability to suggest implement improvements
- Extensive experience in customer service and dealing with individuals at all levels
- The ability to adapt with changes and challenges in a constantly evolving start up environment
- A willing attitude and ability to process information quickly and respond fast to ever-changing requirements
Bonus points if you:
- Have experience with Facilities Management
- Have experience with Fixed Asset Management
- Managed and Developed Health and Safety Programs in the organization.
